Terms & Conditions

Welcome to Journiqa!


We’re thrilled to have you with us! Before booking any travel packages or using our website, please take a moment to read these Terms and Conditions (“Terms”). By accessing our website or making a booking, you agree to be bound by them. If you don’t agree with any part of these Terms, kindly refrain from using our services.


All tours are operated by Journiqa Ltd, a UK-based company (“Journiqa” or “Tour Operator”). When you book a tour or any related products/services (“Tour”), your contract will be with Journiqa Limited, an English entity, as shown on your invoice. By booking or participating in a tour, you (the “participant” or “you”) confirm that you have read, understood, and agreed to these Terms.


When booking on behalf of others, you confirm that you’re authorised to accept these Terms on their behalf. You also consent to the processing of your personal data in accordance with our Privacy Policy (https://www.journiqa.com/privacy), and affirm that you have the authority to provide personal details for all participants in your group.

1. The Booking Contract
Your booking is confirmed, and a binding contract is formed when the Tour Operator or its agent provides written confirmation following receipt of the required deposit. Please review this confirmation carefully and report any discrepancies immediately. Ensure that all participant names match their passport details.


You must be at least 18 years old to make a booking and agree to provide accurate and complete information to the Tour Operator.


2. Booking on Behalf of Others
If you are booking for others, you act as the primary contact for the group. You are responsible for managing all payments, communication, and updates with the Tour Operator and keeping your group informed of any changes. By making such a booking, you confirm that you have the necessary consents and that all information provided is accurate. The Tour Operator is not liable for errors or omissions in the information provided.


3. Required Medical Information
If you have pre-existing conditions affecting your ability to participate, travel to remote locations, or potentially impact others you must disclose this to the Tour Operator

 

The Tour Operator reserves the right to:

  • Request additional medical documentation or opinions.

  • Deny participation if deemed unsafe due to your health condition, at your expense.

  • Refuse travel for pregnancies beyond 24 weeks.

  • Failure to provide requested medical information may result in booking cancellation, with applicable fees applied.


4. Special Requirements
Special requirements must be disclosed during booking. While Journiqa will endeavor to accommodate these, limitations related to destinations and activities may prevent full compliance. Dietary restrictions and allergies must also be noted, but accommodation cannot be guaranteed.


5. Age Requirements
Participants must be 18 at the time of travel to be eligible to participate in the program.


6. Mandatory Insurance Requirements
Travel insurance with minimum medical, evacuation, and repatriation coverage of USD $200,000 is required for all programmes. This insurance must also include personal injury and emergency medical expenses. It is the participant’s responsibility to ensure appropriate coverage.


7. Prices, Surcharges, and Taxes
Tour prices include applicable taxes. Prices may be adjusted before booking confirmation due to fluctuations in fuel costs, taxes, or exchange rates. Increases exceeding 8% of the total cost provide the option to cancel or rebook without penalty, excluding insurance or amendment fees.


8. Validity
Details, dates, and pricing for programmes are subject to change. 


9. Deposits
A non-refundable deposit of £99 is required upon booking to secure your place. Full payment is due within 60 days of departure.


Lifetime Journey Credit: If you cancel your booking (not due to a breach of these Terms), the deposit will be retained as a Lifetime Journey Credit for future use. This deposit is transferable but must be applied to a Tour of equal or greater value.


10. Information Required for Booking
Participants must provide required information (e.g., passport details, permits) by the specified deadlines. Failure to do so may result in cancellation with applicable fees.


11. Airfare
Unless otherwise stated, Tour prices exclude international airfare. 


12. Booking and Payment Terms
Your booking is confirmed once your initial payment has been made and you receive a booking confirmation. Journiqa reserves the right to decline any booking at its discretion. If your booking is not accepted, your initial payment will be fully refunded.


Final Payment
The remaining balance for your trip, including any applicable surcharges, must be paid in full at least 60 days (or 8 weeks) prior to the scheduled departure date of the first product or service in your booking. If payment is not received by the due date, Journiqa may, at its sole discretion:
Adjust the total rate payable for your booking.


Treat your booking as cancelled and retain your deposit as a cancellation fee.


For bookings made less than 60 days before departure, full payment is required at the time of booking. In cases where specific payment terms differ, these will be communicated before booking and detailed on your invoice.


Payment Options
Journiqa offers two convenient payment methods:

  • Full Payment: Pay the total trip cost in one transaction upon acceptance into the program.

  • Payment Plan: Secure your spot with a £99 deposit, followed by equal monthly installments starting the month after your booking. The total balance must be paid at least 2 months before departure. You’ll receive details of your payment plan during booking, and deposits must be made using a credit or debit card. A standing order form will be provided for installment payments.


Important Notes
The payment plan option is unavailable for bookings made within 8 weeks of departure, in which case full payment is required.


If an installment payment under the plan fails, Journiqa will attempt to reprocess it. Persistent payment failures may result in booking cancellation and applicable cancellation charges.


Failure to settle the full balance by the due date, regardless of your chosen payment method, will result in cancellation charges.


Separate deposits are required for multiple trips booked as part of a single travel itinerary.


Third-Party Fees
Journiqa is not responsible for any additional fees charged by financial institutions or third parties (e.g., credit card processing fees) and will not refund these charges in connection with payments made by you.

13 Cancellations and Changes to Your Booking
Cancellation by You Before Departure
If you or any member of your party decides to cancel a confirmed booking, you must notify Journiqa via email info@journiqa.co.uk or call us at 0161 222 3780. Your cancellation will take effect on the date we receive your notice.


Since cancellation incurs costs, you will be required to pay the charges outlined below. The charges are determined based on when we receive your cancellation notice:

For Cancellations Made 

  • More than 120 days before departure: Loss of £99 deposit 

  • 60–31 days before departure: 50% of the programme cost.

  • 30 days or fewer before departure: 100% of the programme cost.

These cancellation charges apply after the 7-day cooling-off period, which starts on the date you secure your spot and receive your booking confirmation. Bookings made within 59 days of departure are not eligible for this cooling-off period.


Important Notes:

  • Non-refundable costs: Insurance premiums, third-party fees, and amendment charges are non-refundable under any circumstances.

  • Refund deductions: The cancellation charge will be deducted from any monies already paid.

  • Insurance coverage: If your cancellation is covered under the terms of your insurance policy, you may be able to reclaim some of these charges.

2. Cancellation by You Due to Unavoidable & Extraordinary Circumstances
You have the right to cancel your confirmed booking without paying a cancellation charge if “unavoidable and extraordinary circumstances” occur at your destination or its immediate vicinity, significantly affecting:

  1. The performance of your programme.

  2. Transportation to your destination.

In such circumstances, you can:

  • Cancel your booking and receive a full refund (excluding non-refundable costs).

  • Defer your programme to another date within the same calendar year of your original departure date.

“Unavoidable and extraordinary circumstances” include:

  • Warfare or acts of terrorism.

  • Outbreaks of serious disease.

  • Natural disasters (e.g., floods, earthquakes).

  • Adverse weather conditions making travel unsafe.

These rights apply only if the UK Foreign, Commonwealth & Development Office (FCDO) advises against travel to your destination or its immediate vicinity after your booking date. If you defer your programme, your original cancellation terms will still apply.

3. Cancellation by Journiqa
Guaranteed Departures:
Journiqa guarantees all confirmed departures once at least two bookings with valid deposits are secured. However, this guarantee does not apply in cases of Force Majeure.


Changes or Cancellations by Us:
While we strive to operate all tours as scheduled, unforeseen circumstances may require itinerary changes. Examples of minor changes include:

  • Flight time adjustments under 12 hours.

  • Substitution of accommodation with options of equal or higher quality.

  • Changes in transportation providers.


If we make a significant change (e.g., trip duration changes by 12+ hours, destination removal, or accommodation downgrades), or cancel your trip entirely, you’ll be notified promptly. In such cases, you will have the following options:

 

  • Accept the revised arrangements.

  • Receive a full refund of all amounts paid.

  • Choose alternative arrangements of equal or higher value at no extra cost.

  • Opt for alternative arrangements of a lower value and receive a refund for the cost difference.

You must inform us of your choice within 7 days of being notified. If we don’t hear from you, we’ll assume you accept the changes or alternative arrangements.


14 Post-Departure Changes:
If significant portions of your trip cannot be delivered after departure, we will provide alternative arrangements at no extra cost. If the alternatives are of a lower standard, we’ll offer an appropriate price reduction.

4. Additional Cancellation Information
Calculation of Charges:
The cancellation fees outlined above are based on a genuine pre-estimate of losses Journiqa would incur due to your cancellation. This includes non-refundable charges from suppliers, operational costs, and the potential inability to resell services.


Refund Process:
If a refund is owed, we’ll attempt to contact you via the details you provided. Refund credits are valid for one year from the cancellation date. If we cannot reach you within this period, the credit will be forfeited.


Force Majeure & Extraordinary Events:
Journiqa will not be liable for itinerary changes, delays, or cancellations caused by Force Majeure events, such as natural disasters, terrorism, or pandemics.

15 Pricing
All travel packages are priced in pounds sterling (£), regardless of the destination you select.


We reserve the right to adjust the prices of unsold programmes at any time and to correct errors in the pricing of confirmed bookings. Additionally, we may increase the price of confirmed programmes solely to account for changes resulting from:

  • The cost of transporting passengers, including increases in fuel or other energy costs.

  • Taxes or fees applicable to the programme that are imposed by third parties not directly involved in its delivery, such as tourist taxes, landing taxes, or embarkation/disembarkation fees at ports and airports.

  • Exchange rate fluctuations relevant to the package.


These variations may include, but are not limited to, changes in airline costs under our contracts with airlines (and their agents), cruise ship operators, or other transport providers.


We will absorb and you will not be charged for any price increase equivalent to 2% or less of the total cost of your travel arrangements (excluding insurance premiums, amendment charges, and/or additional services or travel arrangements). However, any increase exceeding 2% will be charged to you.


Please note: No price increases will be applied within 60 days of your scheduled departure date.

16 Your Conduct
We expect all participants to behave respectfully and appropriately, ensuring that their actions do not disrupt or negatively impact the experience of others.

This includes responsible consumption of alcohol and strict adherence to laws regarding drug use. Active drug use is strictly prohibited, maybe considered a criminal offense, and will not be tolerated under any circumstances.


If, in our judgment or that of any authority figure, your behavior—or that of anyone in your party—causes or is likely to cause distress, danger, annoyance, property damage, or delays/disruptions to transportation or arrangements, we reserve the right to terminate your booking immediately.


In such cases, our obligations to you and/or your party will cease, and you will be required to leave your accommodation or arrangements without delay. No refunds will be provided for unused services, and we will not cover any costs or expenses arising from the termination.


You and/or your party will be held responsible for any damage or losses caused by your actions. Full payment for such damages must be made directly to the supplier before departure. You and each member of your party will be jointly and individually liable for any damage or loss, including any claims made against us, as well as legal fees and associated costs if payment is not made.


Please note, we cannot be held responsible for the behavior or actions of other guests or individuals unconnected to your booking or our company.

17. Travel Documents
You are solely responsible for obtaining all required documentation for your trip, including passports, visas, permits, and certificates (e.g., vaccination or medical). Passports must be valid for at least six months beyond your travel dates. Journiqa is not responsible for any costs, losses, or missed travel due to incomplete or invalid documentation. We recommend consulting relevant authorities for up-to-date requirements.

18. Flexibility & Unused Services
Adventure travel requires flexibility, and itineraries may change due to unforeseen circumstances, such as Force Majeure, illness, or political events. Journiqa reserves the right to make adjustments to routes, schedules, accommodations, and transportation. No refunds or discounts will be provided for unused services resulting from such changes.

19. Changes By You & Booking Transfers
Changes by You: Any requests to modify a booking must be submitted in writing by the lead passenger. Changes are subject to approval and availability, with additional costs and administrative fees applied. Requests made within 10 days of departure may not be accommodated and may be treated as cancellations.


Booking Transfers: You may transfer your booking to another person, provided the following conditions are met:


(a) The new traveller meets all booking requirements. (b) Notification is given at least 7 days before departure. (c) Outstanding balances, amendment fees (£50/€50), and any additional costs are paid. (d) The transferee agrees to these Terms.


You and the transferee are jointly responsible for all payments. If no replacement is found, cancellation charges will apply.

20. Assumption Of Risk
Adventure travel involves inherent risks. By booking with Journiqa, you acknowledge and accept these risks, including but not limited to travel to remote destinations, physical activities, and varying standards of infrastructure. You agree to comply with local laws, safety measures, and instructions. Journiqa is not liable for incidents resulting from your failure to adhere to safety protocols or for personal decisions affecting your health and safety during the Tour.

21. Liability
Journiqa is responsible for ensuring the proper delivery of services under your booking. Compensation for negligence by Journiqa or its suppliers will consider relevant factors, including adherence to the complaints procedure outlined in these Terms.
Journiqa’s liability does not extend to:


(a) Losses resulting from your actions or omissions. (b) Unforeseen circumstances involving third parties. (c) Force Majeure events.
Compensation for certain claims, such as luggage or personal belongings, is limited to the excess on your travel insurance. Journiqa may deduct amounts received from third-party providers from any compensation paid.


For international travel and transport, Journiqa’s liability aligns with applicable conventions and carrier terms, which form part of your agreement.


If unavoidable circumstances prevent your return as scheduled, Journiqa will provide necessary accommodations for up to three nights. Exceptions apply for travellers with special needs, provided advance notice is given. “Unavoidable and extraordinary circumstances” include terrorism, natural disasters, and serious health risks at your destination.


22. Optional Extras
“Optional Extras” refer to activities, transportation, meals, products, or services not explicitly included in the Tour itinerary or price and are not considered part of the Tour package. You acknowledge that any support provided by the Tour Operator’s representatives in organising, selecting, or booking Optional Extras is offered solely at your request. The Tour Operator disclaims any warranties and takes no responsibility for any outcomes, including damages, inconvenience, loss of enjoyment, or injuries arising from participation in Optional Extras or information provided by the Tour Operator's representatives regarding them. You waive any claims against the Tour Operator for issues related to Optional Extras.


You further accept that any liability for damages, loss, personal injury, illness, emotional distress, or property damage related to Optional Extras lies solely with the third-party providers delivering these services or activities.

23. Prompt Assistance
Should you encounter difficulties during your trip, the Tour Operator will provide appropriate assistance in the given circumstances. This includes offering information on medical services, local authorities, consular support, and facilitating alternative travel arrangements. If the assistance needed does not result from any fault on the part of the Tour Operator, its employees, or subcontractors, the costs of alternative arrangements or services will remain your responsibility. Airlines, transport providers, or other suppliers may offer compensation or services, and you should direct claims to them. The Tour Operator is not responsible for costs incurred if prior approval is not sought before making your own travel arrangements. Additionally, the Tour Operator may impose a fee for assistance if the difficulty arises due to your or your party's intentional actions or negligence.

24. Force Majeure
Unless otherwise stated, the Tour Operator shall not be held liable or required to compensate for failure to fulfill contractual obligations due to “unavoidable and extraordinary circumstances.” These include events beyond the Tour Operator’s control that could not have been avoided with reasonable measures. Examples include acts of war, terrorism, civil unrest, labor disputes, political instability, significant health risks such as disease outbreaks, natural disasters, government interventions, industrial actions, or transportation disruptions beyond the Tour Operator’s or its suppliers' control.


25. Images And Marketing
By participating in any Tour, you acknowledge that photographs, videos, or other media may be captured by fellow travellers, the Tour Operator, or its representatives. You grant the Tour Operator a perpetual, royalty-free, worldwide license to use such images for promotional purposes, including marketing materials and campaigns in any media format, without further notification or compensation.

26. Privacy Policy
The Tour Operator collects your personal information to facilitate the provision of Tours, products, and services. Personal data will be used solely to the extent required to provide these services, as outlined in the Tour Operator’s Privacy Policy. This Privacy Policy is available on the Tour Operator’s website and is incorporated into these Terms. By providing your personal information, you agree to the terms of this Privacy Policy.

27. Severability
If any provision of these Terms is found to be unenforceable, that provision shall be limited only to the extent necessary to make it enforceable. The remaining provisions shall remain valid and enforceable.

28. Contract Parties & Successors
These Terms are binding upon and benefit the parties, their heirs, legal representatives, executors, successors, and assigns.

29. Applicable law & dispute resolution
These Terms and the associated Contract are governed by the laws of the United Kingdom. You agree to the exclusive jurisdiction of the courts in London, UK, for resolving disputes under these Terms.


30. Amendments
The Tour Operator reserves the right to modify these Terms at any time. Updated Terms will be published on Journiqa’s website, becoming effective 10 days after posting. You are deemed to accept any amendments by continuing to use the Tour Operator’s services after this period. The most current version of the Terms is always available on the website and can be provided upon request. Travellers are encouraged to review the Terms prior to departure to ensure awareness of any changes.
